Crewing & Logistics Co-ordinator (Maternity Cover)

We are seeking to recruit a Crewing & Logistics Co-ordinator to work in our Aberdeen Office on a temporary basis (Maternity Cover). The ideal candidate will have experience of working in a similar role within Oil & Gas industry.

The main duties associated with the role, include but are not limited to:

  1. Liaise with Project Managers regarding up-manning requirements.

  2. Allocate personnel from staff and temporary workers pool to ensure all manning requirements are promptly met and appropriate procedures and processes are followed at all times.

  3. Source offshore crew when required and conduct initial screening prior to technical review by Project/ Department Manager.

  4. Collate and maintain training certificates ensuring full compliance of mandatory and legislative training & competence.

  5. Issue contracts of employment to adhoc offshore personnel as and when required.

  6. Ensure that personnel files and all crew certification are kept up to date and are uploaded in Maximo.

  7. Ensure that personnel have received all relevant information prior to mobilisation.

  8. Register personnel with clients and provide relevant documentation as per client requirements.

  9. Maintain accurate and current records of logistical movements, assignment schedules and any other information as required.

  10. Liaise with Project Managers and external agencies to make mobilisation / demobilisation arrangements and communicate arrangements with personnel/ hiring agent.

  11. Ensure relevant information is communicated to Payroll department in order to ensure payments made to individuals are correct.

  12. Undertake relevant administrative duties in relation to terminations and down-man situations.

  13. Arrange travel, accommodation and Visas as required for all personnel travelling on Company business using most cost effective and convenient travel routes and ensuring approvals are obtained in line with company procedure.

  14. Gain and maintain an understanding of relevant industry agreements and the implications for the department.

  15. Act as the Competency Assurance Scheme Co-ordinator fulfilling the duties detailed in the Competency Assurance Scheme Procedure.

  16. Assist in the preparation of management reports as required.

  17. Undertake out of hours on-call duties on a rotational basis and ensure that the rota and sufficient cover is maintained.

  18. Miscellaneous on-going front-office administrative tasks such as answering the telephone, greeting guests and assisting with correspondence and mailings.

 

Requirements for the position

  • Experience of a similar role gained from within the oil and gas industry

  • Able to demonstrate excellent communication skills at all levels

  • Must be able to demonstrate ability to manage high volume activity, at times working under pressure and to tight deadlines

  • Exceptional attention to detail and understanding of the importance of data integrity
