Office Administrator/ Document Control

We are seeking to recruit an Office Administrator/ Document Controller to work in our Aberdeen Office on permanent. The ideal candidate will have experience of working in a similar role within the Oil & Gas industry

MAIN DUTIES

The main duties associated with the role, include but are not limited to:

 

DOCUMENT CONTROL & INFORMATION MANAGEMENT

  • Maintain the BMS System, scanning, filing, and archiving Company documents in accordance with document management controls, standards, processes and procedures to ensure documents can be retrieved efficiently

  • Ensure all data and information is in the Company BMS System is correct, complete and up to date and revisions are clearly implemented, recorded and issued

  • Responsible for all project document control within N-Sea Offshore Limited

  • Responsible for company document control registers and document numbering

  • Advising departments on how to manage document lifecycles to ensure that there is a clear audit trail of how documents are approved

  • Coaching staff on document control processes and procedures

 

ADMINISTRATIVE & FACILITIES

  • General Office administration as required, including answering the telephone, greeting guests, and assisting with correspondence and mailings.

  • Provide support to Crewing & Logistics function such as:

    • Collation and maintenance of training certification and matrices
    • Issuing of contracts of employment to ad-hoc offshore personnel as and when required
    • Issuing of joining instructions/ induction packs prior to mobilisation
    • Arrange travel and accommodation for personnel travelling on company business as and when required
  • Co-ordination of Marketing activities and Company events

  • Ensure appropriate levels of stationary are maintained

  • Point of contact for service companies such as cleaners and water supplier

  • Responsible for issuing and recording of employee door entry fobs

 

REQUIREMENTS FOR THE POSITION

  • Experience in a similar role gained from within the oil and gas industry

  • Experience in document management activities

  • Able to demonstrate excellent communication skills at all levels

  • Must be able to demonstrate ability to manage high volume activity, at times working under pressure and to tight deadlines

  • Exceptional attention to detail and understanding of the importance of data integrity

  • Computer literate with excellent Microsoft package skills
