PERSONAL ASSISTANT (PA) / OFFICE MANAGER

We have a vacancy for a Personal Assistant (PA) / Office Manager (fulltime) for our organization based in Dordrecht (NL).

Main Objective

As a PA / Office Manager your focus is to support the Management Team members and the Head of Legal & Contracts with various secretarial duties and to ensure that the head-office runs smoothly and efficiently. This includes acting as first point of call for visitors, providing reception duties, and taking external calls as well as being responsible for all incoming and outgoing post, facility matters and general administrative support.

Main Duties

  • Providing secretarial and administrative support as and when required to the Management Team members and the Head of Legal & Contracts.
  • Miscellaneous on-going front-office administrative tasks such as answering the telephone, greeting, and guiding guests, responsible for incoming/outgoing mail, management of e-mail boxes, file maintenance and assisting with correspondence and mailings.
  • Communicating and providing information by relevant methods internally and externally as requested.
  • Being responsible for maintaining the full range of office supplies and facility matters for the pantry
  • Overseeing all aspects of facilities management to support the office and liaising with the building manager, cleaners and security.
  • Identifying and developing ways to improve process and cost efficiencies for the business.
  • Coordination of daily lunches, monthly Friday afternoon drinks, meetings, conferences, and events ensuring necessary refreshments are arranged and take notes as requested
  • Any other task within your capabilities as reasonably requested by the organisation.

Requirements

• HBO-degree
• 4-6 years of work experience in a similar role
• Affinity for corporate law / legal administration
• Proficiency in Microsoft programs (Word, Excel, Outlook)
• Good planning and organizational skills
• Professional (customer service) attitude, pro-active and representative
• A good command of the English language both written and spoken
• Strong time management and ability to prioritize and meet deadlines
• Strong team player with an enthusiastic personality
• Good attitude towards Health & Safety
